Make the process easier to understand and question.
Start with a specific purpose
Define the operational problem and the decision the data will support. Test whether a less intrusive approach could work before enabling monitoring.
Tell people clearly
Workers should understand what is collected, when it is collected, why it is needed, who can view it, how long it is kept and how to challenge or correct the record.
- Provide notice before monitoring starts
- Consult workers or representatives where appropriate
- Keep settings consistent with the notice
Limit and protect the data
Use the least intrusive settings that meet the purpose, restrict access by role and delete records when they are no longer necessary.
Keep consequential decisions human
AI-generated labels, alerts and summaries can be incomplete or wrong. Review the source evidence, consider the employee’s explanation and use wider performance context before action.
Assess and revisit risk
Complete a DPIA before likely high-risk processing, record mitigations and revisit the assessment when features, teams, purposes or legal requirements change.
